How to Audit Inventory Using RFID Scanner

RFID scanners are an excellent solution for dispensaries with large inventories. They allow you to scan your inventory in minutes while simultaneously filtering for desired criteria, making your monthly inventory audits simpler and quicker.


Auditing Your Inventory With an RFID Scanner


Navigate to Settings→Bluetooth on your iPad and make sure that the Bluetooth toggle is enabled. Tap your RFID scanner in the list of devices and make sure it’s connected.

If you are using multiple scanners you can easily differentiate between them by checking their S/N (Serial Number).

Navigate to Menu→Inventory→Product Audit.

In the Product Audit screen, select the office or storage that you want to audit.

If you want to select specific categories, tap the Category field and you will be able to select/deselect the ones you want.

You can do the same for different Brands.

You can exclude all non-marijuana products from the audit by enabling the Include only Marijuana Products toggle. Press Start Audit when you are ready to begin.

Tap the area that says Connect. You will see all available scanners. Choose the RFID scanner that you connected earlier.

After a successful connection, the RFID Scanner will display the Name of the device, Battery level, and Temperature, and allow you to choose the desired Scanning Power. You can tap Start Scanning to begin the audit.

Once the audit begins, the scanner will start searching for products with RFID labels in close proximity. Detected item amounts will appear in the Actual column, while the Expected column will show how many products are supposed to be found. The Difference column will show you the difference between the Expected and Actual amounts.

high res exclaimation mark.jpg Please make sure that the tags are attached in a way that is easy for the scanner to identify, and that there are no obstacles that can obstruct the scanning process. Refer to this article for more information about setting up a label printer.


Tapping the +/- button next to the Actual amount will bring up a Change Quantity pop-up, that allows you to manually adjust it. Consider enabling the Adjust Quantity toggle as well.

The Adjust Quantity toggle allows you to adjust the Expected amount alongside the Actual one. Meaning that you can essentially perform the same action as the Adjust Quantity pop-up without having to leave the current one.

Tapping the +/- button next to a number in the Difference column will bring up the Adjust Quantity pop-up. This pop-up allows you to resolve the difference between the Actual and Expected quantities. You must specify an Adjustment Reason. Consider enabling the Add Expense toggle (Enabling it will reflect the adjustment in your expenses), or adding a Note if there is anything specific you would like to mention.

Tapping the icon next to Difference on a particular product will help you locate it, by progressively filling the bar the closer you get to it.

Package Control and Metrc products will show you all packages associated with them. They will have their own individual adjustments.

You can tap the Stop Audit button if you need to pause for whatever reason. If you adjusted the Expected quantity to resolve the Difference, you will see an arrow icon next to it, showing exactly how much quantity was adjusted. You can tap the Complete button once all differences are resolved and you are satisfied with the audit.
